Dear Chairs and Directors,

I have attached this block's chair's meeting summary for your records. See the 2 new announcements below.

Have a good fall break.

If something comes up during break and you need me, I will check my email -- I won't write to you all with new business, but you all feel free to reach out if there are matters that require timely touch base.

Best,
Emily

New announcements since Block 3’s meeting

1. This is sent to all faculty in the allfac email you will get shortly – Please start class LATE at 10am on Week 2 Monday (12/5). Announcement is sent to all faculty, but I want to specifically bring this to chairs’ attention. President Song Richardson, Dean Rochelle Dickey are planning an all-campus event/address regarding mental health. If you are on a field trip, have a guest speaker that absolutely cannot be rescheduled, or other arrangements that are simply impossible to move at this late date, please let me know. Chairs, please let your block visiting faculty know because they might not get the information via all-fac email.

2. Chairs and directors: Come have a small group conversation with the President!

In response to chairs' interest in sustained conversations with administration, President Song Richardson would like to host regular chairs and directors conversations to get to know. Please sign up online.<https://www.signupgenius.com/go/10c094faea929a1f9c43-department> There are six meetings between now and February, and each meeting has a limit of six spots (12/1, 12/20, 2/1, 2/2, 2/10, 2/13).

Key action-relevant topics that were covered in the Block 3 meeting notes (attached, and also posted to Canvas)

     * [chair action needed] CC100s are needed in block 1, CC120s in blocks 2-4. Winter start FYPs in Blocks 5-6.
        * We need about 35-37 sections of CC100, and 35-37 sections of CC120. With a total of approximately 70-74 course, and an estimate of 155 full-time equivalent faculty members (after sabbaticals, leaves), this means that departments should be offering 1 FYP course for every 2 faculty members, on average.
           * Departments with lower overall enrollments asked to offer more --- you can count the FYP towards your major and minor and it is a GREAT way to introduce first years to your programs.
           * Please let Aaron Stoller know of your plans and questions.
     * Continue to schedule first year friendly (no pre-req) courses in blocks 2 to 4 for first years who are not in CC120s.
     * Action resulting from chair's input in 2021-22: We are moving forward with a major Open Education Resource initiative to enhance textbook affordability.
        * [action for chairs] Please complete their chair survey for OER so we know how to support your interest and needs in increasing affordability! * [action for all faculty members] Please complete faculty survey to share your current use of OER, future needs and interest: ALL FACULTY SURVEY<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Ft.e2ma.net%2Fclick%2Frq76ff%2Fbufjobi%2F76yb0k&data=05%7C01%7C%7Cf0cdfb49ecd7481bef5108dac804f98a%7Ccfc7b13c12964387b3085de08fd13c99%7C0%7C0%7C638042220954808794%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=M8HFcS%2FIsCD7DaBqiDDLPU1ggWmW6sp%2F864UwlNknQA%3D&reserved=0>
     * Call for 2024 January Half Block
        * Half block 2024: January 8 to Thursday, January 18, 2024. Deadline for proposal is December 9, 2022. Please note the earlier timeline this year aligning with the creation of the 2023-24 teaching schedule. This gives chairs and department the space to plan the full 2023-24 year, including the planned use of half block to support student learning in block 5-8 courses.
        * Please submit the half block course using the onilne form<https://forms.office.com/Pages/ResponsePage.aspx?id=PLHHz5YSh0OzCF3gj9E8mdn2po1B5r5Kgr_S4xD-kCZUMUFDUEpQSFFEQTkyMzVRSTJWNFVUR0E2Vy4u>.
     * Mid-year schedule change request form.<https://forms.office.com/Pages/ResponsePage.aspx?id=PLHHz5YSh0OzCF3gj9E8mdn2po1B5r5Kgr_S4xD-kCZUM1NDQTkzTDdQNEZLSkVKUDVBUVlZSEZUWS4u> The form will route your change request to the Registrar's Office and the Office of the Dean of the Faculty. This will initiate follow up tasks such as updating visiting faculty appointment letters, teaching-load tally, etc. The Registrar Office will email you to confirm the change to the schedule.
     * New Relocation Assistance Allowance adopted. Staff and faculty relocation to Colorado College are covered by the same protocol, and is based on distance of move. The allowance is not a reimbursement, so no receipts are needed, but are flat rates based on distance. Moving allowances are taxable income (one can think of this as a signing bonus), to be paid within 30 days after the employee starts employment and thus not available before employment. This change is to comply with the Tax Cuts and Jobs Act of 2017 where employer funded relocation ceased to be excluded from their gross income. Departments are not allowed to use their own funds to augment this allowance/bonus, just like departments don’t issue bonuses to their faculty or staff members’ paychecks.
     * Continued discussion of FAQ document about credit hour translation to block plan. The current draft is included below the share-out notes. Chairs are encouraged to discuss this with colleagues in the department and share comments and suggestions for improvement.
